AB BRASIL

One of the world's largest companies in the food sector AB BRASIL, a food company, mobilizes its processes through a smartphone application developed with the Navita Mobile platform, for 70 executive, including Managers, Directors and the President.

They now have remote access to the EMS from Datasul/Totvs and have streamlined their response time to purchase requests by more than 90%.

AB Brasil, a company in the food sector that owns brands such as Fleischmann (yeast), and Ovomaltine, is part of a conglomerate that is in over 40 countries with a sales volume around USD 13 billion per year. With an office in the city of São Paulo and two plants in the state of São Paulo, the company needed a solution for streamlining approvals and doing business, in the midst of top executives constantly on the move.

The Challenge

Approvers needed to connect to AB Brasil's network to access the EMS system of Datasul/Totvs. While off company premises, especially on business trips, laptops needed to be used to approve purchase requests, but it wasn't always possible to find a stable and secure connection. With executives away, changes often had to be made in the approval workflow by passing on pending requests to other approvers, thus generating internal demand.
These difficulties meant that requests could take one to two weeks to be answered, a time length that was incompatible with the volume of requests. Just the company's IT department alone receives 10 to 15 approval requests per day, whereas directors, who have access to all cost centers, receive up to 30 requests daily.

The Solution

Given this situation, AB Brasil saw that mobilizing the Datasul/Totvs ERP system was the ideal solution for eliminating ERP access limitations when outside the company, and in order to make the project viable, it saw great potential in BlackBerry® smartphones from Research In Motion (RIM) – which were already used by 90 employees of the company for remote access to email.
The IT department called upon Navita, who was already providing AB Brasil with consulting services for its BlackBerry® Enterprise Server, and they signed a contract to develop a mobile EMS integrated application, using Navita Mobile – a platform for creating applications for BlackBerry smartphones. The project was completed in eight weeks, including analysis, production and improvements.

Benefits

Currently, AB Brasil has 70 professional approvers, concentrated in Management, the Board of Directors and the President's office, who use the Navita application for remotely accessing the ERP from their BlackBerry smartphones. Implemented a year ago and operating in conjunction with a mobile access plan from the mobile operator Vivo, the solution gives executives access to approvals and cost centers from anywhere in the world. As a result, efficiency in responding to requests has increased by more than 90%, once these approvals began to occur as soon as they were displayed on the device screen, with audible notifications immediately alerting users to pending approvals.
With support from BlackBerry smartphone security features, which protect data circulating between the devices and the ERP, the application has an interface that enables viewing an approval monitor, as well as screens that are friendly, easy to use and adjusted to AB Brasil standards. The mobile application also helped reduce tech support costs, by doing away with full-time intervention of IT professionals to delegate approvals.
Putting an end to delays through faster communication between employees avoided having to renegotiate agreements with suppliers, which involved paying fines. “We are now able to maintain a strong commitment to our partners,” says Eliane Serrano, IT Manager at AB Brasil. She points out that the total investment in the integrated ERP application was relatively low compared to the results obtained.
Future
According to Eliane, AB Brasil relies on Navita to develop new mobile applications. The next step will be to mobilize features for approving the credit limit of customers and sales orders.
“AB Brasil values the mobility of its executives. Our partnership with Navita was crucial for our goal of 'seamless mobility' to become a reality. Presently, our information technology is speedy and we gain time for doing our work, anywhere in the world, without disconnecting or delaying any activity,” says Eliane. “The distinguishing feature of this partnership lies in the fact that all AB Brasil executives have at their disposal the means to be totally integrated with the EMS system of Datasul/Totvs, that upholds all the safety rules and provides communication that is faster and more economically viable,” she declares.
“The partnership with Navita was extremely important for us, since we gained greater agility in purchase approvals, security and savings in costs we previously had with Internet connections. And with integration between the company's executives, who can communicate anytime and anywhere in the world,” says Marcelo Bertolloti, Supply Director of AB Brasil. “We have managed to ensure the sustainability of our operations and, above all, more connectivity for our executives,” he concludes.
Navita's CEO, Roberto Dariva, highlights the benefits from the synchronization between BlackBerry smartphones and ERP systems. “The AB Brasil project is another success case involving a business solution based on the mobilization of management systems, capitalizing on the usability, efficiency and security of BlackBerry smartphones. The corporate vision that is afforded by mobile devices is what makes the difference in companies seeking to optimize their work processes by means of mobility,” explains Dariva. “The benefits are remarkable in companies with a profile like AB Brasil, which has relationships with different suppliers and retailers all over the country,” he says.
